Recruiting Operations Specialist | Contract

TL;DR - We're looking for a Recruiting Operations Specialist to join Lovable on a parental leave cover, with the potential for extension. You'll own day-to-day interview operations, keep Ashby accurate and reliable, and improve the processes that help us hire exceptional people. Working closely with recruiters, hiring managers, and EAs, you'll make every step clear and well-coordinated for candidates and interviewers. Why Lovable? Lovable is the software creation platform that gives people the power to act on the problems closest to them. For decades, turning an idea into software required so much capital, technical fluency, and time that many ideas never came to life. Lovable is the counterargument: a platform for all people with ideas, ambition, and problems worth solving. From solopreneurs to small business owners to teams at companies like Adidas and Zendesk, people have built over 60 million projects on Lovable since its launch in November 2024. And we’re just getting started. We’re building a generational company from Stockholm, with growing teams in London, Boston, New York, and San Francisco. Our team is small, talent-dense, and moving quickly, with a culture rooted in extreme ownership, high velocity, and low-ego collaboration. We look for people who care deeply, ship fast, and are eager to make a dent in the world. Lovable is one of TIME’s 100 Most Influential Companies and has been recognized on the Forbes AI 50 and CNBC Disruptor 50, reflecting our momentum as one of Europe’s fastest-growing AI companies and one of the most ambitious places to build in this next era of software. What we're looking for - 2+ years of experience in recruiting operations or coordination, ideally in a global startup or fast-moving tech environment. - Hands-on experience with Ashby or a comparable ATS, and an understanding of how data quality and system configuration affect recruiting. - Strong organizational judgment: you know how to prioritize competing requests, navigate ambiguity, and follow through independently. - Clear, thoughtful communication and excellent writing skills. You're comfortable working with senior stakeholders and speaking up when something needs to change. - An AI-native mindset: you understand how processes work, spot opportunities to improve them, and can build scalable workflows that integrate AI and agents into everyday recruiting operations. - A collaborative approach: you welcome feedback, share what you learn, and care deeply about the people behind the process. Nice to have: experience in project or program management. What you'll do - Own interview scheduling and candidate logistics, including complex panel interviews and coordination across time zones in partnership with EAs. - Keep Ashby accurate and reliable through regular pipeline audits, data checks, and configuration support. - Use recruiting data and feedback to identify bottlenecks, implement practical improvements, and measure their impact. - Build and improve scalable processes, using AI and agents to automate repetitive tasks, reduce manual handoffs, and free the team to focus on candidates and hiring decisions. - Champion the candidate experience with clear expectations, timely updates, and thoughtful preparation, helping stakeholders uphold the same standard.
